How to set eligibility criteria for an integration

This guide explains how to set eligibility criteria on an integration in Aragorn AI—selecting which records from a project are included when data is sent to a vendor.

What is eligibility?

Eligibility (step 2 in integration configuration) is a filter on project data. Not every record in a project may belong to every integration.

Example: Your project contains all employees, but a benefits integration should only send full-time employees. Eligibility limits the integration to that subset.

If no criteria are set, Aragorn AI shows all employees will be sent (or all records of the relevant data type).

Note: In the UI, focus on criteria when configuring eligibility. Legacy applied eligibility criteria is being retired—do not document that flow.

When to use eligibility

  • Same project, multiple integrations with different audiences (full-time vs contractors)

  • Vendor only accepts a subset of your workforce

  • You need to exclude terminated or inactive records for a specific outbound integration

Set eligibility criteria

  1. Log in to your Aragorn AI account.

  2. Open Integrations

  3. Select your integration.

  4. Go to the eligibility step (integration step 2).

  5. Review the default—if all records should be sent, leave criteria empty.

  6. To filter, create a criteria rule

    For example:

    • Name: Active full-time only

    • Condition: where type is employee and is_terminated is false

  7. Save. The preview count updates to show how many records match (for example, shrinking from five employees to two).

Living criteria

Eligibility is dynamic. When new hires match your criteria, they are included automatically on the next run—you do not need to re-select individual employees.
