What is a taskflow?
A taskflow is an automated workflow inside Aragorn AI. Instead of sending a file to a vendor, each record from your integration job is processed through a sequence of tasks—for example, create a Google account, email the manager, and schedule an onboarding calendar event.
Taskflow integrations use the same first four configuration steps as other integrations (data source, eligibility, groups if supported, and mapping). Step 5 is Taskflow—there is no Connection step because the destination is the workflow itself.
For creating the integration and initializing the taskflow, see How to create a taskflow integration.
Before you build
Complete these steps on the integration first:
Data source — Select the project that supplies employee records.
Eligibility — Filter which records enter the integration (eg: new hires only).
Groups — (If shown for your setup) Assign vendor-side groups when applicable.
Map data to transform — Map project fields the workflow activities will read (for example,
work_email,manager_email,first_name).
If the integration was just created, click Initialize the taskflow for this integration before the configuration steps appear.
Open the taskflow builder
Log in to your Aragorn AI account.
Open Integrations and select your taskflow integration.
Go to the Taskflow step (step 5).
Name the flow—for example,
Onboarding new hire.Click Build flow (or equivalent) to open the taskflow builder.
Add activities
Activities are the individual tasks in your workflow. Available activities depend on which services you connect (for example, Google, email).
Example: new-hire onboarding
A common pattern for HR onboarding:
Order | Activity | Purpose |
1 | Create User (Google) | Provision a Google account for the employee |
2 | Send an Email | Notify the employee's manager |
3 | Create Calendar event | Schedule an onboarding meeting |
To add activities:
Connect the service the activity needs (for example, Google with credentials).
Browse available activities for that service.
Drag or add each activity into the flow canvas.
Connect activities in the order they should run.
Configure each activity
Each activity may ask for inputs—often mapped from project fields or values from a previous step's output. Use the fields you prepared in Map data to transform so each record has the data the workflow needs.
How a taskflow runs
When an integration job completes, Aragorn AI builds a data report from eligible project records. For taskflow integrations:
Each record in that report is processed through the flow in order.
Activities run sequentially—later steps start after earlier ones finish for that record.
If an activity fails for a record, that record's run may fail; check integration job history for details.
This is different from file feed or API integrations, which send the full report to an external vendor in one delivery.
Data scope: all records vs changes only
During taskflow creation, you choose whether to process every record on each run or only records that changed—the same scope choice as file feed integrations. Match your HR process:
Scope | When to use |
All records | Re-run the full workflow for everyone each time (uncommon for onboarding) |
Changes only | Run the flow only when a record changes—for example, a new hire appears in the project |
Test before production
Put the integration in test mode.
Run the integration manually.
Confirm each activity behaves as expected for test records.
